To ensure all products are accounted for and all media (photos/videos) are organized, we follow these steps on every shoot.

Pre-Shoot Preparation

1. Product List Finalization — a Master Product List (Excel / Google Sheet) with columns: Product Name, SKU/ID, Shoot Type (Image/Video/Both), Styling Notes / Props Needed, Shot List (Angle 1, Angle 2, Lifestyle, Demo, etc.), and Status (Pending/Shoot Done/Edited/Delivered).

2. Shoot Folder Structure Setup — folders are pre-created on Google Drive/Dropbox/hard drive: Photoshoots/YYYY-MM-DD_BrandName/RAW/Product_SKU_Name/{Images,Videos}, Edited/Product_SKU_Name/{Images,Videos}, BehindTheScenes/, and a Master_Spreadsheet.xlsx.

On-Shoot Process

1. Checklist Tracking — the printed or tablet-accessible master sheet is used to tick off products as they're shot, with any reshoots or missed angles noted immediately.

2. Naming Convention While Shooting — files are labelled as Brand_SKU_Angle1.jpg or Brand_SKU_Shot1.mp4.

3. Live File Dump — as soon as a product is shot, media is transferred to the RAW folder > Product SKU folder, and confirmed against the shot list.

Post-Shoot Wrap-Up

1. File Review & Backup — we cross-check that all products on the list have matching media, then back up the full folder to a cloud drive and a hard drive.

2. Organize Final Files — selected and edited media is moved to the Edited folder using the same SKU-based subfolders, keeping naming consistent.

3. Media Sheet — the Master Spreadsheet is updated with Final File Names, Media Type (JPEG, PNG, MP4), Folder Location (drive link or path), and Editing Notes.
